Entity: Clinical Care Associates - Penn Primary Care (PPC) and Penn Specialty Practices (PSP) of Penn Medicine Medical Group (PMMG)

Department: Gastroenterology at Limerick

Location: Penn Family Medicine Limerick- 420 W Linfield Trappe Rd

Hours: Per Departmental Needs

Summary:

  • Performs complex administrative functions associated with the support of a multi-faceted department. Responsible for access initiatives: patient coordination, creates and maintains physician templates across department and protocols associated with templates, day-to-day oversight of resource schedules, liaising with call center, the EAVF and PHX Multi-Specialty to maintain compliance of scheduling/access protocols. Responsible for data management and data analysis of access. Communicates with patients and physicians across the department, referring practices, and Penn Affiliates.

Responsibilities:

ACCESS AND REFERRAL INITIATIVES:

  • Execute scheduling and coordination of patients as a direct result of patient care. Coordinate with practice manager to make necessary template/protocol changes.

  • Provide daily oversight and management of same-day appointments, OAC by partnering with the Access Center, the EAVF and the PHX Multi-Specialty spaces to ensure accurate scheduling and adequate access.

  • Act as super user and subject matter expert in provider schedules and protocols across all sites under the department.

  • Act as a liaison and troubleshoot access issues for the following: Tandigm referrals, the EAVF and Phoenixville Hosptial scheduling issues, the Access Center and oversee recall workflow to schedule patients for follow-up procedures.

PATIENT CARE COORDINATION:

  • Coordinate new patient appointments as needed with Patient Facilitated Services, Penn Health Referral, Penn Affiliates and Primary Care Physician Liaison and PCP offices.

  • Schedule new patient appointments with appropriate physician and/or group with emphasis on working with providers on a regular basis to ensure that the right diagnosis and patient is scheduled with appropriate provider; organize all facet of new patient appointments.

  • Responds to patient inquiries or problems. Answer questions regarding practice, procedures, tests, directions etc.

  • Maintains an excellent understanding of managed care plans and protocols for referrals, co-payments, and pre-certifications.

  • Oversees / performs referral and or precertification process; provides all documentation required by the insurance company to ensure approved admission.

  • Oversees pre-charting process of OV and procedures to include referrals, precerts, and various reports to ensure OV/procedure to secure on DOS, coordinate medical record requests, deposit process with courier service.

  • Support practice manager to ensure compliance of registration and scheduling components for OV and procedures.

DATA MANAGEMENT AND ANALYSIS:

  • Maintains physician templates and protocols for the department.

  • Follows access and referral programs by entering data in database and creates monthly reports.

  • In conjunction with the Practice Manager, will perform basic data analysis to direct change in referral and market strategy.

CHANGE MANAGEMENT:

  • Readily adopts and is engaged in practice access/operation changes.

DEPARTMENT INFORMATION SYSTEMS:

Is proficient in the use of all system applications necessary for practice operations and basic data analysis, including, but not limited to:

  • EPIC

  • Ancero

  • Navinet

  • Pear

  • Promise

  • Availity

  • OnBase

  • Microsoft Excel

  • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures

  • Other duties as assigned to support the unit, department, entity, and health system organization

Credentials:

Education or Equivalent Experience:

  • H.S. Diploma/GED And 5+ years Comparable work experience in call center or high volume calling, previous healthcare experience is preferred. (Required)

  • Bachelor's Degree (Preferred)
