The Arc of Opportunity Receptionist in Fitchburg, Massachusetts

Position Summary: The Arc of Opportunity seeks a receptionist to join our team. This position reports to the Vice President of Human Resources and plays a crucial role in providing exceptional customer service and administrative support to our organization. The ideal candidate will be well-organized with strong attention to detail, great communication skills, and a friendly demeanor.

Schedule: Monday-Friday 7:30am-3:30pm (40 hr/week)

Responsibilities:

  • Greet visitors warmly and assist with inquiries for a welcoming front desk environment.

  • Ensure all visitors sign in and receive a Visitor lanyard as per company procedures.

  • Answer and direct incoming calls promptly with courtesy and professionalism.

  • Handle incoming and outgoing mail efficiently, sorting and distributing them as needed.

  • Maintain a clean reception area and conference rooms demonstrating attention to detail.

  • Assist with clerical tasks such as filing, copying, and data entry to support HR operations.

  • Monitor office supply inventories and places orders as needed to ensure adequate levels.

  • Maintain confidentiality and handle sensitive information with discretion.

  • Collaborate with colleagues and other departments in support of the organization mission.

  • Communicate effectively to provide accurate information and assistance as needed.

  • Demonstrate a willingness to learn and take on additional responsibilities as a team player.

  • Assist Human Resources and other departments as assigned by the Vice President of HR.

  • Other duties as assigned.

    Qualifications:

  • Ability to communicate effectively both verbally and in writing.

  • Strong interpersonal skills, adaptability, and professionalism

  • Dress and present oneself professionally as the “face” of the organization.

  • One or more years’ experience as a receptionist

  • Positive attitude in everyday interactions and problem solving.

  • Computer skills including Word, Excel, and basic internet research.

  • Ability to understand, retain and appropriately implement verbal and written instructions.

  • Intermittent standing, walking, sitting, carrying, bending, and reaching.
