Position Overview:

Regulates and maintains patient appointment schedules for Interventional Radiology, Cat Scan and Special Procedures.

JOB ACCOUNTABILITIES:

OPERATIONS:

• Schedules patients for Interventional Radiology, Cat Scan and Special Procedure exams.

• Is knowledgeable about scan types, preparations, length of exams, schedule guidelines, i.e. which are monitored by a physician.

• Reads clinical information from the orders, schedules appropriately; requests assistance from IR Technologists, Nurses or Physicians regarding appropriate scheduling.

• Correlates scheduling of same day examinations with Radiologists and Nurses as to the time slot/preparation.

• Schedules patients with requests from Physicians.

• Schedules patients with faxed requests.

• Explains special procedures and preps to outpatients. Instructs patients on diets, medications and post procedure instructions.

• Arranges copies for patients needing films when being referred for outside treatment.

• Informs patients about lab information and follows up on lab results before examination date.

• Maintains the upkeep of the scheduling book and future booked exams. Maintains the follow up appointment patient log sheet.

• Acts as liaison between Medical Offices, Nurses, Radiologists and Physicians when booking any patients requiring admittance.

• Obtains from each patient appointment the following: Name, Medical Record Number, Date of Birth, and Daytime phone number, requesting Physician or Medical Facility. Obtains Medication Information, Height, Weight and previous Medical History.

• Screens patients thoroughly using the history/screening form. Alerts Radiologist of severe contrast allergies or other issues in medical history which may impact procedures prior to exam date to enable us to arrange pre-medication or labs.

• Acts as liaison when Follow up labs is required.

• Confirms appointments and preparations the day before with patient and Nurses.

• Reschedules waiting patients as necessary in emergencies.

• Creates color coded folders, labels folder with medical record labels, files folders. Supplies Nurse with appropriate patient information.

• Informs IR staff and Physicians of patient arrivals, cancellations and concerns.

• Expedites jacket and chart troubleshooting for add-on patients.

PHONES/FAXES/SUPPLIES:

• Answers phones courteously, handles appointment requests and scheduling questions from Physicians, Nurses, Clinical Staff and patients.

• Answers general questions from patients and staff.

• Checks fax machine daily for orders and patient information pertaining to schedule exam.

• Faxes appropriate paperwork as needed.

• Informs the ordering clerk when supplies are running low, folders, labels etc. Inventories and orders all office supplies regularly as assigned or needed. Participates in continuous quality improvement activities.

EDUCATION:

HS Diploma or General Education Diploma (GED)

TYPICAL EXPERIENCE:

2 years of recent experience in scheduling for Radiology department

SKILLS AND KNOWLEDGE:

Organizational and multi-tasking skills.

Intermediate computer skills to include keyboarding, mouse movement, data entry and scheduling programs.

Verbal/written communication skills for frequent and challenging contact with physicians, employees, patients and patient families; requires patience and compassion.

Ability to effectively organize and prioritize tasks in order to complete assignments within the time allotted and maintain standard workflow.

Ability to work with others in a flexible and cooperative manner.

Ability to maintain composure during challenging interpersonal interactions.

Active listening skills; including interpersonal skills and telephone communication.

Applies moderate mental application and concentration to handle multiple procedures and interruptions throughout the day.

Pay Range is $32.05 to $40.06 / hour

The salary range for this role may vary above or below the posted range as determined by location. This range has not been adjusted for any specific geographic differential applicable by area where the position may be filled. Compensation takes into account several factors including but not limited to a candidate’s experience, education, skills, licensure and certifications, department equity, training and organizational needs.
