State of Idaho OpportunityCase Management System Coordinator, Office of the State Public Defender

Full-time (40 hours) - $50,000 - $70,000 annually D.O.E.

The Idaho State Public Defender (SPD) is a newly created state agency which provides trial representation to indigent criminal defendants pursuant to Idaho Code § 19-5905. The SPD is responsible for all indigent defense cases throughout the State of Idaho, including both juveniles and adults. We are seeking a Case Management System Coordinator who is driven by a commitment to public defense to oversee the administration of our case management and intake processes.

POSITION & RESPONSIBILITIES:

The primary purpose of this position is to oversee the administration of the case management system (CMS) and to coordinate the statewide intake process of the Office of the State Public Defender. This role provides CMS support for defending attorneys and staff members throughout the state. The SPD is a new state agency with an overall mission of serving indigent clients and improving the quality of public defense across the state.

This is a newly created non-classified position that reports to Operations Director of the State Public Defender.

Example of Duties:

  • Manage the agency’s case management system (CMS) and implement CMS guidelines.

  • Oversee the intake process and ensure compliance with intake requirements in collaboration with the Litigation Division and the Alternate Counsel Division.

  • Work in collaboration with the SPD, Operations Director, SPD management team and Managing Attorneys to put policies into action.

  • Provide training to users on how to navigate the utilize the case management system effectively.

  • Supervise intake staff in district offices.

  • Offer ongoing support and troubleshooting assistance to users encountering issues with the system.

  • Serve as the primary point of contact for intake staff in resolving intake issues and conflict determinations.

  • Establish a process for CMS case file reviews to ensure accuracy and completeness.

  • Manage the CMS in accordance with agency policy including updating fields and templates to ensure relevant data is accurately captured.

  • Coordinate with Legal Server and Information Technology Services (ITS) to integrate case management software with other relevant systems and databases.

  • Collaborate with ITS and CMS vendors to resolve technical issues.

  • Assist the management team with administrative tasks and projects as needed.

  • Maintain confidentiality of client information and adhere to ethical standards.

  • Other duties as assigned.

Minimum Qualifications:

  • Three to five (3-5) years of experience related to the job responsibilities reflected above OR three to five (3-5) years of experience in a supervisory or administrative role, preferably in the legal setting.

  • Strong knowledge of legal case management procedures and practices.

  • Exceptional administrative skills, including organization, time management, and attention to detail.

Preferred Qualifications:

  • Knowledge of or experience working in the criminal legal system.

  • A college degree, paralegal certificate or relevant work experience.

  • Experience working with government agencies, non-profits or business organizations.

  • Experience supervising or training employees in-person and/or remotely.

  • Ability to communicate effectively with diverse stakeholders, including clients, staff, and external partners.

  • Knowledge of software including use of Application Programming Interfaces.
